Undergraduate Research Volunteer and Shadowing Onboarding Instructions (For Supervisor Use Only)

Volunteer Onboarding Overview

These procedures are intended for faculty and supervisors coordinating volunteer placements. Students should not initiate this process independently.

Before beginning, determine which path applies to your volunteer:

Path 1: Volunteer Service Only

Students who plan to volunteer without receiving course credit must complete:

Step 1: Submit Required Volunteer Documents

Path 2: Volunteer Service + Course Credit (CLP 3911)

Students who wish to receive course credit for their volunteer work must complete:

Step 2: Receive Your Letter of Acceptance
You will receive a Letter of Acceptance from Bethany. This document is required for course registration.

Step 3: Register for CLP 3911 – Introduction to Clinical Research

Registration Instructions:

  • Complete the CHP Enrollment Request Form.
  • Upload the following two required documents:
    1. Letter of Acceptance (provided by Bethany)
    2. A brief statement (a screenshot or PDF of an email) from your research supervisor that includes:
      • A description of the research work you will perform
      • Confirmation of approval for you to register for a specific number of credits during the term

Important:
Both documents must be uploaded, or your registration will not be processed.

Registration Deadlines:

  • Registration is only permitted during official university registration periods.
  • Students must complete every step outlined under Path 2 no later than two weeks prior to the last day of registration. If all steps are not completed by that date, registration will not take place for that term.

Additional Requirement for Volunteers with Patient Contact (Applies to Both Paths)

If your role includes patient contact, you must also complete this step:

  • Contact Bethany McClellon.
  • Bethany will submit an INOP form to notify the Student Health Care Center (SHCC) that a health assessment is required.
  • Once processed, you will be notified when to contact SHCC to schedule your appointment.

Important Notice:
The department is not responsible for any costs associated with required health assessments.

Undergraduate Shadowing Opportunities

Undergraduate shadowing opportunities within the Department of Clinical and Health Psychology are arranged through faculty sponsorship. Requests for shadowing must be initiated by a faculty member on behalf of the student and are subject to departmental approval and scheduling availability.

Shadowing allows students to observe patient care and clinical operations in a professional healthcare environment. Before participating in any shadowing activities, the following documentation and training requirements must be completed.

Required Items

  • Completed Request to Observe Patient Care Form
  • Signed Security and Confidentiality Agreement
  • HIPAA Training Certificate
  • Secure electronic copy of a valid government-issued photo ID (driver’s license, state ID, or passport) **
  • Proof of current flu vaccination
    • Individuals without proof of vaccination will be required to wear a mask while in clinical areas
